Introduction

Nominations are requested for two positions on the FDP Executive Committee elected by the FDP institution membership: the Institution Administrative Representative (who serves as FDP Chair) and the Institution Faculty Representative. Each of these positions is elected for a two year term. The following procedures will be used for nominations and elections for these positions for the January 2005 to January 2007 term.

Nomination Procedures

  • Any FDP Institution member may submit a nomination for the Administrative Representative and the Faculty Representative. The Administrative Representative nominee must be the current official administrative representative from an FDP institution. The Faculty Representative nominee must be the current official faculty representative from an FDP institution. See the List of Official Administrative and Faculty Representatives (PDF).
  • A call for nominations was announced at the May 2004 FDP meeting. A formal call for nominations will also be sent to the FDP Listserv. Persons can be nominated without their knowledge. Self nominations are acceptable. All nominations must be received by August 1, 2004.
  • An online nomination form for this purpose has been created and may be accessed as outlined in the ‘Nominate a Candidate’ section below. All nominations will be forwarded to the Membership Committee Co-Chairs (Donna Helm, Johns Hopkins University and Joanna Rom, National Science Foundation).
  • Each nominee will then be contacted by the Membership Committee and their willingness to serve ascertained. If they are willing to run, they will be asked to submit a statement of qualifications and a vision statement. These statements must be submitted by September 1, 2004. Each candidate will have the opportunity to provide statements to the FDP membership at the September 2004 meeting.

Position Responsibilities

Administrative Representative (Chair of the Executive Committee)

  • Work closely with FDP membership, FDP Executive Committee members, the GUIRR representative and GUIRR staff to further FDP goals.
  • Chair and attend all FDP meetings.
  • Work with FDP Executive Director and Committee members on the development of meeting agendas.
  • Participate in Executive Committee conference calls (10/yr) and ad hoc conference calls with various FDP committees (10/yr).
  • Provide guidance and oversight to FDP Executive Director
  • Serve as an ex officio member of all FDP committees and task forces.
  • Provide guidance and oversight to the FDP committees and task forces.
  • Oversee and endorse all formal written FDP position papers and/or recommendations.
  • Represent the FDP at professional, university and federal agency meetings.
  • Interact on behalf of the FDP with external groups: OSTP, OMB, NCURA, SRA, COGR, etc.
  • Represent the FDP as GUIRR Council Associate, attend GUIRR Council meetings (3/yr) and report on the status of FDP activities.

Faculty Representative

  • Serve as the primary point of contact/advocate for encouraging/fostering participation of FDP faculty members.
  • Chair the Faculty Standing Committee and attend all FDP meetings.
  • Serve on the Executive Committee.
  • Work with Chair, FDP Executive Director, and Committee members on the development of meeting agendas.
  • Participate in Executive Committee conference calls (10/yr) and ad hoc conference calls with various FDP committees (10/yr).
  • Participate in the preparation and facilitation of any formal written FDP position papers and/or recommendations.
  • Provide guidance and oversight to the FDP committees and task forces.
  • Organize and participate in all Faculty Steering Committee conference calls (10/yr)
  • Organize faculty lunch discussions at FDP meetings, organize faculty panels as appropriate.

Election Procedures

  • The Membership Committee will prepare an electronic ballot containing the candidates for both the Administrative Representative (Chair) and the Faculty Representative.
  • Prior to voting, individuals at FDP member institutions should caucus and arrive at a consensus for the votes of their institution.
  • Voting will occur between September 22, 2004 and November 1, 2004.
  • There may only be one vote per institution for the Administrative Representative (Chair) by the institutional administrative representative and one vote per institution for the Faculty Representative by the institutional faculty representative.
  • The Membership Committee will receive, tabulate and validate the ballots and announce the results by November 19, 2004. If there is no plurality, the individual with the largest number of votes for each position will be declared the winner.

Timeline

  • Call for nominations announced at May 2004 FDP meeting
  • Call for nominations posted to the FDP web site June 18, 2004
  • Nominations close by August 1, 2004
  • Candidate statements received by September 1, 2004
  • Candidates will present statements at the FDP Meeting (September 20-21, 2004)
  • Web ballots available by September 22, 2004
  • Voting closes 5 PM ET November 1, 2004
  • Results announced by November 19, 2004

Remember that ANY FDP Institution member, including those at ERI institutions, may nominate candidates for the two positions.
